# Audit-ready is a state, not a sprint.

Evidence collection, standards mapping, and documentation cycles: out of shared folders and into one auditable system that’s ready every day, not just the month before the visit.

## What the audit of the audit finds.

Before we build anything, we look at how accreditation actually runs today. The findings repeat, institution after institution:

F.01

Evidence from the last review exists in four versions across three shared drives. Which is current is a matter of opinion.

major

F.02

The standards-to-evidence mapping is one spreadsheet, maintained by one person, understood by one person.

major

F.03

Six weeks before the site visit, every department was asked to “resend everything.”

recurring

F.04

Conditions from the previous cycle were rediscovered eleven months later, in the previous report.

recurring

F.05

Two accreditors requested the same evidence in different frameworks. It was assembled twice, by hand.

systemic

None of these are people failures. They’re what happens when an institution’s memory is asked to live in folders.

Fig. ACC.3 The countdown

## Two timelines to the same visit.

Same standards, same panel, same date on the calendar. The only variable is where the evidence lives.

The folder institution Milestone The system institution

T–18 mo

Folders ·A kickoff meeting. A brand-new shared drive is born, with optimistic subfolders.

System ·Nothing special happens. Evidence has been collecting itself since last cycle.

T–12 mo

Folders ·Departments are asked for documents. Some reply. The spreadsheet grows a second tab.

System ·The gap report flags three thin criteria. Owners are notified automatically.

T–6 mo

Folders ·The mapping spreadsheet no longer opens without prayer. A consultant is discussed.

System ·A mock review runs from the live system. Two gaps found, two gaps closed.

T–6 wk

Folders ·The all-hands evidence hunt begins. Weekends are cancelled. Morale is archived.

System ·Exhibits are generated from the repository. The work left is formatting, not archaeology.

Visit day

Folders ·The panel asks for something unexpected. The room goes quiet.

System ·The panel asks. The answer takes two clicks, with version history and provenance.

After

Folders ·Conditions are noted, filed, and forgotten until the panic returns.

System ·Conditions become tracked actions with owners and dates, closed long before next cycle.

The folder institution passes too, usually, at the cost of a year of its best people’s evenings. Boring visits are cheaper.

## What the course covers.

Five modules that turn accreditation from an event into a standing state:

ACC 521

### Evidence repository

One library for every document that proves anything: versioned, owned, access-controlled, and citable. The end of “which file is current?”

One source of evidence

ACC 522

### Standards mapping

Every criterion of every framework linked to living evidence. One upload satisfies many masters: national, professional, and international.

One upload, many frameworks

ACC 523

### Cycles & deadlines

Collection workflows, review and sign-off chains, and deadline tracking with named owners, so nothing depends on somebody remembering.

Deadlines with owners

ACC 524

### Self-review & reports

Self-studies and SSRs assembled from the repository: your team writes the narrative, the system supplies the citations.

Reports that cite themselves

ACC 525

### Conditions & actions

Findings and recommendations become tracked actions with owners and dates, closed and evidenced before they compound into next cycle’s crisis.

Findings that get closed

## Not every institution needs this yet.

An honest admissions policy, as always. Accreditation systems pay for themselves in specific situations, and not before:

### Wait a semester when

- One program, one framework, and the next review is years away
- A shared drive and one excellent QA officer honestly still cope
- The evidence base is genuinely small enough to hold in one head
- QA is treated as paperwork theatre: sponsorship must come first

### Enrol now when

- Multiple accreditors and frameworks want the same evidence, differently
- Cycles overlap, so the pre-visit panic never actually ends
- The mapping lives in one irreplaceable person’s head
- The last review’s findings included the word “documentation”

And since every review has a numbers half, this course pairs naturally with its sibling.[Pair it with Institutional Analytics](https://axiswise.io/education/institutional-analytics)

Fig. ACC.6 The syllabus

## A semester, well spent.

Phased, fixed-quoted, and written to survive committees, because we know who has to approve this.

Weeks 1–3

### 01Orientation

Frameworks, cycles, evidence sources, and the current state of the folders: mapped honestly. The findings are yours regardless.

A map of every obligation

Weeks 3–8

### 02The repository

Evidence moves in: versioned, owned, deduplicated. The four-copies problem ends here.

One evidence library

Weeks 8–12

### 03The mapping

Criteria linked to living evidence across every framework. The gap report goes live, and stays live.

Gaps visible, owned

One cycle

### 04Mock review

A real standard run end to end from the system: the site visit, rehearsed until it’s boring.

A visit rehearsed

Ongoing

### 05Standing readiness

New frameworks arrive as mappings, not migrations. Audit-ready stays a state, not a sprint.

Always ready

### The institutional memory stays institutional.

- Evidence library
- Mappings
- Audit trails
- Documentation

## Questions, answered straight.

### We answer to multiple accreditors with different frameworks. Doesn’t that multiply the work?

It’s precisely why the system exists. Evidence is stored once and mapped to every framework that cites it: one upload satisfies many masters. A new accreditor becomes a new mapping, not a new migration.

### Does it hold the actual documents, or just links to them?

Both, deliberately. The repository holds documents with version history and provenance, and live figures can flow in from institutional systems, so the number in your self-study matches the number in your data platform on visit day.

### Our accreditor has its own submission portal. Do we still need this?

Portals collect submissions; they don’t run your evidence life between submissions. The system is where readiness lives year-round, and when the portal opens, it feeds it instead of replacing it.

### What happens when our QA director retires?

That’s the scenario this is built for. The mappings, workflows, history, and institutional memory live in the system, so a handover becomes onboarding, not archaeology.

### Accreditation files are sensitive. How is confidentiality handled?

Access-controlled by role, audit-trailed by default, hosted according to your institution’s policies, and covered by NDA as standard. Auditability without exposure is the entire design brief.

### How is it priced?

Fixed quotes per stage, beginning with a small Orientation fee: each stage documented in committee-ready language, because we know exactly who has to sign this off and what they’ll ask.

## Make the next visit boring.

Bring your framework list and your last review’s findings. We’ll map what standing readiness looks like for your institution, committee-ready proposal included. The best site visit is an uneventful one.
